Privacy Policy

ProdLink ("we," "our," or "us") values your privacy. This Privacy Policy explains how we collect, use, and protect information when you use our web application, desktop application, and related services.

1. Information We Collect

Account Information

Name, email address, organization name, and login credentials when you create an account.

Usage Data

Information about how you interact with ProdLink, including features used, settings, and preferences.

Service Data

Content you provide through integrations (e.g., Planning Center, YouTube, Facebook Live) for production management. This includes service plans, team member assignments, notes, checklists, and chat messages.

Technical Data

Browser type, device information, IP address, and cookies for performance and security.

Local Network Data

When connecting to ProPresenter, ProdLink communicates with devices on your local network. This communication stays within your network and is not transmitted to our servers.

2. How We Use Information

We use collected information to:

  • Provide and improve ProdLink's services
  • Enable integrations with third-party platforms (e.g., YouTube, Facebook, Planning Center)
  • Facilitate team communication through in-app chat
  • Communicate with you about updates, support, and security
  • Ensure compliance with legal and contractual obligations

3. Sharing of Information

We do not sell your personal information. We may share data only in these cases:

  • Service Providers: With trusted vendors who help us operate ProdLink (e.g., hosting, analytics, email delivery).
  • Integrations: With platforms you connect (e.g., Facebook, YouTube, Planning Center) to enable features you request. OAuth tokens are stored securely and used only to access the services you authorize.
  • Organization Members: Information you share within ProdLink (notes, checklists, chat messages) is visible to other members of your organization as determined by your role and permissions.
  • Legal Requirements: If required by law, regulation, or to protect rights and safety.

4. Third-Party Services

ProdLink integrates with several third-party services. When you connect these services, their respective privacy policies also apply:

  • Planning Center: For service planning and team management
  • YouTube/Facebook: For live stream monitoring and analytics
  • Stripe: For payment processing (we do not store credit card information)

5. YouTube API Services

ProdLink uses YouTube API Services to enable live stream analytics and monitoring features. By using ProdLink's YouTube integration, you agree to be bound by the YouTube Terms of Service.

Data We Access

When you connect your YouTube channel, we access:

  • Your channel's live stream status (live/offline)
  • Live stream metadata (title, video ID, stream URL)
  • Real-time concurrent viewer counts during live streams
  • Post-stream analytics including peak and average concurrent viewers
  • Historic stream duration

How We Use YouTube Data

  • Display real-time viewer counts in your Producer Dashboard
  • Record viewer count snapshots during live streams for analytics
  • Provide stream history and duration tracking
  • Show YouTube-provided analytics (peak viewers, average viewers) alongside our recorded data

Data Storage

Stream analytics data (viewer counts, duration, stream metadata) is stored in our database and associated with your organization account. We refresh this data regularly to ensure accuracy. We do not store raw YouTube video content.

Data Sharing

YouTube stream data is used solely within your ProdLink organization and is not shared with third parties except as required for service operation (e.g., hosting infrastructure). Aggregated data across multiple YouTube channels is only displayed to the content owner of those channels.

Revoking Access

You can revoke ProdLink's access to your YouTube data at any time:

  • Within ProdLink: Navigate to Analytics β†’ Click the trash icon next to your connected channel
  • Via Google: Visit Google Security Settings to manage third-party app access

When you disconnect a channel, we will delete stored analytics data for that channel within 7 calendar days.

Google Privacy Policy

ProdLink's use of information received from YouTube API Services adheres to the Google API Services User Data Policy, including the Limited Use requirements. See also the Google Privacy Policy.

6. Facebook Integration

ProdLink uses the Facebook Graph API to enable live stream monitoring and analytics features. By using ProdLink's Facebook integration, you agree to be bound by the Facebook Terms of Service.

Data We Access

When you connect your Facebook Page, we access:

  • Your Page's live video status (live/offline)
  • Live stream metadata (title, video ID, stream URL)
  • Real-time concurrent viewer counts during live broadcasts
  • Post-stream analytics including peak and total viewers
  • Stream duration and timestamps

How We Use Facebook Data

  • Display real-time viewer counts in your Producer Dashboard
  • Record viewer count snapshots during live streams for analytics
  • Provide stream history and duration tracking
  • Show combined analytics across your connected platforms

Data Storage

Stream analytics data (viewer counts, duration, stream metadata) is stored in our database and associated with your organization account. We do not store raw Facebook video content or access private messages.

Data Sharing

Facebook stream data is used solely within your ProdLink organization and is not shared with third parties except as required for service operation (e.g., hosting infrastructure).

Revoking Access

You can revoke ProdLink's access to your Facebook data at any time:

When you disconnect a Page, we will delete stored analytics data for that Page within 7 calendar days.

7. Cookies and Local Storage

We use browser cookies and local storage to:

  • Maintain your session and authentication state
  • Store user preferences and settings
  • Enable security features

Third-party services we integrate with (YouTube, Facebook, Stripe) may also place their own cookies when you authenticate or interact with their services.

8. Data Retention

We retain your information only as long as necessary to provide services or comply with legal obligations. Specifically:

  • Account data is retained while your account is active
  • Chat messages and notes are retained until you delete them or close your account
  • Analytics data may be retained in anonymized form

You may request deletion of your data at any time.

9. Security

We implement industry-standard safeguards to protect your information, including:

  • Encryption of data in transit (HTTPS/TLS)
  • Secure password hashing
  • Role-based access controls
  • Regular security audits

However, no system is completely secure, and we cannot guarantee absolute security.

10. Your Rights

Depending on your location, you may have rights to:

  • Access, correct, or delete your personal information
  • Restrict or object to certain processing
  • Request data portability
  • Withdraw consent for optional data processing

How to Request Data Deletion

You can request deletion of your data in the following ways:

  • Email Request: Send an email to info@prodlink.io with the subject line "Data Deletion Request" and include your account email address.
  • In-App: Organization administrators can delete user accounts from the Settings page, which removes all associated data.
  • Account Closure: You may request complete account deletion, which will remove your personal information, chat messages, notes, and other content.

We will process deletion requests within 30 days. Some data may be retained longer if required by law or for legitimate business purposes (e.g., billing records, fraud prevention).

11. Children's Privacy

ProdLink is not directed to children under 13. We do not knowingly collect information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date. We will notify you of material changes via email or in-app notification.
